ClerkDirect uses the same notification rules for ordinary task comments and reminder comments created by Task Schedules.
Who receives task notifications
When a task is created or reassigned: The assigned person receives an assignment notification.
When someone comments: The assigned person and all subscribers receive a notification. Anyone @mentioned in the comment is notified too.
When a Task Schedule posts a reminder: The reminder is a normal comment, so the assigned person, subscribers, and anyone @mentioned are notified.
The person who leaves a comment is not notified about their own comment. If someone qualifies in more than one way—for example, as both a subscriber and an @mention—ClerkDirect sends only one notification.
Assigned person versus subscriber
The assigned person owns the task and is accountable for completing it. A task has one assigned person.
Subscribers are additional people who want to follow the work. They receive comment notifications but are not responsible for completing the task.
The assigned person receives comment notifications automatically and does not need to be added as a subscriber.
Add or remove subscribers
Open the task.
Find Subscribers.
Start typing a workspace member’s name.
Select the person or press Enter to add them.
To remove a subscriber, select the remove control beside their name.
The person who manually creates a task is added as a subscriber automatically.
Notifications from Task Schedules
When a Task Schedule creates tasks, its process owner is added as a subscriber to every generated task. This lets the process owner follow comments and progress without becoming the assigned person.
When a scheduled reminder runs, ClerkDirect adds the configured reminder message as a comment from the process owner. It is posted to every incomplete task created by that schedule, including unfinished tasks from earlier cycles. Tasks marked Done or Canceled are excluded.
Email delivery
Assignment and comment notifications include a link back to the task in ClerkDirect. ClerkDirect automatically retries transient delivery failures. A bad or outdated email address should be corrected on the member’s account.
